Tax engine import configuration in D365 Finance & Operations

 Business Requirement

To configure the GST Setup for Indian Legal entity in new Sandbox Environment where there is blank in Tax configuration under Electronic Reporting workspace. 


Note: The Tax engine functionality is only available for legal entities with a primary address in India.


Configuration Process

1. Create new Repository for company


2. Click new to create new configuration provider


3. To Make the created configuration provider active click on set active


4. Click on Repository to create Lifecycle Services (LCS) Configuration Repository


5. Create Repository and then click on the link to login with environment credential and give access to LCS

   


6. Authorisation is successful close this success popup and click OK on the previous tab (in above screenshot).

Then Select the project Type and click OK


7. Configuration Repository is created


8. Go to Microsoft Repository to import INDIA tax GST


9. Go to Global Configuration repository and OPEN


10. Click on the link to login with environment credential and give access to D365 FO


11. Authorisation is successful close this success popup and click OK on the previous tab.


12. Now, Configuration repository is Open. Here search for Tax India GST and select the recent version of GST and click on IMPORT


13. Click on Tax Configuration to see the Imported GST version


14. India GST Configuration is imported successfully 

NOTE: Now this imported version can be used in D365 Finance and Operation to do Tax setup under Tax Module.

Vendor Collaboration Setup

Introduction

Vendor Collaboration functionality enables vendor to view the Request for Quotations (RFQ) and Purchase Orders (POs) created by organization. Vendor can directly participate in the RFQ bid raised by company and review and accept the POs. Moreover, Vendor can raise invoice against PO from the vendor collaboration portal and track the payment against POs.

In short External Vendor is given the access of Dynamics 365 F&O portal of limited feature related to vendors business process as follows:

  • Purchase order confirmation – Monitor and respond to purchase orders (POs).
  • Vendor bidding – View requests for quotation (RFQs), and respond to them by entering bids.
  • Vendor information – View and update vendor master data.
  • Invoicing – Work with invoices


Steps to setup Vendor Collaboration

Create new external vendor or use existing


Make Vendor Collaboration active in Vendor Master > General Tab > Collaboration activation 


Step 2 - Create new contact for Vendor


Expand General Tab and add the Contact Name


Expand the Contact Information tab and create new email ID of contact from which external vendor will be able to login vendor collaboration portal


Step 3 - Vendor Collaboration user request

When the vendor user request is submitted, the Vendor collaboration access allowed field is set to Yes for the selected vendor account and a user request workflow is started

Click on Provision vendor user to create user request:

 


Provide business justification and Vendor collaboration YES


Enable External vendor role:

NOTE: How to manage external vendor role or add or delete various role:

Go to System Administration > Security > External Role


New role can be added and deleted from here:


When the vendor user request is submitted, the Vendor collaboration access allowed field is set to Yes for the selected vendor account and a user request workflow is started


Step 4 - Process the workflow

Click on Vendor collaboration user request to process user creation workflow


Open Workflow:


Approve the workflow


Go to Workflow History to track the status and process other workflow conditions of approval


Workflow Completed:


approve again as the workflow condition


user request workflow is approved, now user is added to user list automatically.

NOTE: To see the added user 

Go to System Administration > Users > Users


Step 5 - Login the vendor collaboration portal with the added user email ID

use dynamics 365 finance & Operations ERP URL and login with external vendor contact's email credential

Go to System administration > Workflow > User Workflow

Vendor Collaboration: Scheduling the PO auto-confirmation batch job

1. Business Requirement

In the vendor collaboration feature organization wants to PO auto-confirm when the vendor accepts the Purchase Order from its portal without any amendment so the organization does need not to confirm manually. This functionality will reduce the step to be performed and the chances of errors made while manual confirmation by the organization user.

To meet this requirement first create a vendor (external vendor) in D365 F&O that will be used for Vendor collaboration and before user accounts can be created for an external vendor, one must configure the vendor account so that the vendor can use vendor collaboration.


2. Enabling Vendor Collaboration on Vendor Master

Create new External vendor or use the existing that will be used as Vendor Collaboration:

Go to  Vendors > General tab > Collaboration activation field. The following options are available, Choose the first option:

  • Active (PO is auto-confirmed) – POs are automatically confirmed if the vendor accepts them without changes. If you use this option, be sure to schedule the Confirm accepted purchase orders from vendor collaboration batch job, which is responsible for processing the confirmations.
  • Active (PO is not auto-confirmed) – organization must manually confirm POs after the vendor has accepted them.
  • Not Active


3. Scheduling the auto-confirmation batch job

To enable this Auto Confirm feature it need to schedule the Confirm accepted purchase orders from vendor collaboration batch job, which is responsible for processing PO auto confirmation.

  • Go to Procurement and sourcing > Purchase orders > Purchase order confirmation > Confirm accepted purchase orders from vendor collaboration.


  • Set the recurrance as per business requirement and then click OK

If your system processes a large volume of data and runs many batch jobs, performance might be an issue. In this case, you probably should not run this job more often than every 10 minutes (depending on your other requirements.

  


  • Finally, Enable the Batch Processing and click OK

 


Note: Enabled batch (Confirm accepted purchase orders from vendor collaboration) can be seen in the path System Administration > Inquiries > Batch Job.

This batch job helps PO to be auto confirmed just after acceptance of PO by vendor from its vendor collaboration portal.
